Who we are and how this policy works
sennd.it is operated by William Earl Armstrong (ABN 34 813 782 926) (“sennd.it”, “we”, “us”). We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and this policy explains how we collect, use, hold and disclose personal information across our website and the app at app.sennd.it.
This policy applies to personal information we handle as part of running sennd.it. Where you upload information about your own customers, separate rules apply — see the section on your customers' information below.
If you have any questions about privacy, want to make a request, or want to raise a concern, you can reach our privacy contact at hello@sennd.it (marked “Attention: Privacy Officer”). We will respond within a reasonable time.
What we collect
We collect information you provide directly to us, such as your name, email address, phone number, business details, billing details and the information you add to quotes, invoices, customer records and related documents.
We may also collect technical information such as device, browser, IP address, log data and usage events when you access the website or app.
Our basis for handling your information
We only collect personal information that is reasonably necessary to provide, secure and improve sennd.it, or that is directly related to doing so. Where we need your consent for a particular use, we will ask for it.
By creating an account and using sennd.it, you agree to us collecting, using, holding and disclosing personal information in the ways described in this policy. If you do not agree, please do not use the service.
Your customers' information
To do its job, sennd.it handles two kinds of personal information. The first is information about you and your business — your account details, billing details and how you use the product. The second is information about your customers that you add to sennd.it, such as their name, mobile number, email address, job details and photos, often forwarded from WhatsApp, SMS or email.
When it comes to your customers' information, sennd.it acts on your behalf and follows your instructions. You decide what to upload and who to send quotes and invoices to. Because of that, you are responsible for making sure you are allowed to add that information to sennd.it and to contact those customers — including having any consent you need under Australian privacy and anti-spam laws.
If one of your customers asks us to access, correct or delete their information, we will usually direct them back to you as the business they dealt with, and help you respond. If you close your account, you are responsible for meeting any obligations you have to your own customers about their records.
How we use information
We use personal information to provide and secure sennd.it, authenticate accounts, process transactions, send service communications, respond to support requests and improve the product.
Where permitted by law, we may also use contact details to share product updates, onboarding help and other relevant service information. You can opt out of non-essential marketing communications.
AI-assisted extraction
sennd.it uses OpenAI and Gemini to help extract customer details, job information and draft quote or invoice content from plain text messages, including forwarded WhatsApp messages.
Data processed for these extraction features is not used to train OpenAI or Gemini models and is not used to train sennd.it models.
Cookies, analytics and tracking technologies
Our website and app use cookies and similar technologies (such as local storage and small tracking pixels). Some are essential — they keep you signed in and make core features work. Others are analytics cookies that help us understand how people use sennd.it, which pages and features get used, and where things can be improved.
We use a small number of analytics providers to collect this usage information. Where these tools are not strictly necessary to run the service, we use them to measure and improve sennd.it, not to build profiles about you for advertising. We do not sell this information and we do not use it for third-party ad targeting.
You can control or refuse cookies through your browser settings, and you can usually clear or block them at any time. Blocking essential cookies may stop parts of sennd.it from working. If your browser sends a “Do Not Track” or global privacy signal, we treat it as a request to limit non-essential analytics where we are able to.
Messaging and delivery providers
sennd.it sends quotes, invoices and follow-ups by WhatsApp, SMS and email, and can read job details you forward from these channels. To do this, we work with messaging providers — including WhatsApp (provided by Meta), an SMS provider and an email provider — and we share the message content and the recipient's phone number or email address with them so the message can be delivered.
We may record delivery information, such as whether a message was sent, delivered or opened, so you can see the status of what you have sent. These messaging providers handle the information they receive under their own terms and privacy policies.
When you forward a WhatsApp or SMS message to sennd.it, please remember it may contain other people's personal information. You are responsible for making sure you are allowed to share it with us for this purpose.
How information is shared
We may share information with service providers that help us run sennd.it, such as hosting, analytics, email, messaging, authentication and payment providers. We may also disclose information where required by law or to protect the rights, safety and security of sennd.it, our users or others.
We do not sell personal information.
Sending information overseas
Some of the providers we rely on to run sennd.it are based outside Australia, which means your information — and, where relevant, your customers' information — may be stored or processed overseas. This includes our AI extraction providers (OpenAI and Google, which provides Gemini), some messaging and email providers, and our hosting and infrastructure providers. These recipients are most likely to be located in the United States, and may be in other countries where our providers operate.
Before we use an overseas provider, we take reasonable steps to make sure they protect personal information in a way that is consistent with the Australian Privacy Principles, including putting contractual protections in place that require them to keep the information secure and use it only for the purposes we have agreed.
If you would prefer your information not be handled overseas, contact us at hello@sennd.it — but please note that some core features, including AI-assisted extraction, may not be available without these providers.
Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
How long we keep information
We keep personal information for as long as your account is active and for as long as we need it to provide sennd.it to you. After you close your account, we delete or de-identify your information within a reasonable period, unless we are required to keep some of it for longer.
Some records — for example invoices, quotes and other financial records — may need to be kept to meet Australian tax and accounting obligations, which generally require records to be retained for at least five years. We only keep these for as long as the law requires.
When personal information is no longer needed for any of these purposes, we take reasonable steps to destroy it or permanently de-identify it. You can ask us about deleting your data at any time by contacting hello@sennd.it.
Data breaches
If something goes wrong, we take it seriously. We have steps in place to detect, investigate and respond to suspected data breaches.
If a data breach is likely to result in serious harm to anyone whose personal information we hold, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth). We will tell affected people what happened, what information was involved, and the steps they can take to protect themselves.

Marketing and how to opt out
From time to time we may send you product updates, tips and offers about sennd.it. We only do this where we are allowed to under the Spam Act 2003 (Cth), and every marketing message includes a clear way to unsubscribe.
You can opt out of marketing messages at any time by using the unsubscribe link, replying STOP to an SMS, or emailing us at hello@sennd.it. We will action your request promptly.
Even after you opt out of marketing, we will still send you essential service messages — for example about your account, security, billing or important changes to the service — because these are part of providing sennd.it to you.
Access, correction and complaints
You can request access to or correction of your personal information by contacting hello@sennd.it.
If you have a privacy concern or complaint, contact us first at hello@sennd.it and we will investigate the issue. If you are not satisfied with our response, you may have the right to raise the matter with the Office of the Australian Information Commissioner.
Children
sennd.it is a business tool intended for people aged 18 or over who are running or working in a business. It is not designed for or directed at children, and we do not knowingly collect personal information from anyone under 18 as a user of the service.
If we become aware that we have collected personal information from a child without appropriate authority, we will take reasonable steps to delete it. If you believe this has happened, please contact us at hello@sennd.it.
Third-party services and links
sennd.it connects with other services you choose to use, such as Xero, QuickBooks and messaging providers, and our website may link to other sites. These third parties have their own privacy policies and terms, and we do not control how they handle your information.
When you connect an accounting service or follow a link to another website, we encourage you to read that provider's privacy policy so you understand how they will treat your information.
Changes to this policy
We may update this privacy policy from time to time as sennd.it changes or as the law changes. The current version is always available on this page, with its effective date shown at the top.
If we make a material change — for example to how we use or share personal information — we will take reasonable steps to let you know, such as by posting a notice in the app or emailing the address on your account before the change takes effect.
By continuing to use sennd.it after an updated policy takes effect, you accept the updated policy.
